FAQ’s: USA Sales Tax

SafetyCulture aims to make your sales tax experience as easy and hassle-free as possible.

We use an internationally recognised and trusted tax compliance provider, Avalara, who are a market leader in calculating accurate sales tax in the USA based on the most up to date local State and Federal laws.

However, we understand sales tax in the United States can be complex and confusing and have generated some FAQ’s to help answer any questions you may have.

  • Each state has its own set of laws which apply to software service companies like SafetyCulture and may differ between states. Therefore certain states require us to add sales tax to your bills for the related goods and services provided to our customers.
  • Each state has different sales tax laws and we recommend contacting your local tax adviser to find out more specific information related to you and your business.
  • Our responsibility to collect and remit taxes for a particular state is frequently reviewed based on changing tax landscapes and evolving guidance from local states, reaching certain threshold requirements, establishing a business presence in new locations and an increase in our number of customers and transactions.
  • As a result, we may be required to collect and remit taxes in states where we previously did not to remain in compliance with state laws.
  • Tax rates are based on the address information you have previously provided to us. By default, we will use your shipping address or in the absence of a shipping address, we will use a billing address. You can review and update your address details within your iAuditor account under:
    • Shipping address: Account> Settings> Shipping address; and
    • Billing address: Account> Subscription> Billing address
  • If you have both a shipping and billing address populated in iAuditor, the shipping address will be used as the primary address, alternatively, in the absence of a shipping address, your billing address will be used.
  • Invoicing customer: Please email tax@safetyculture.io and we will happily update your records.
  • Credit Card customer: Please update these details as follows:
    • Shipping address: Account> Settings> Shipping address; and
    • Billing address: Account> Subscription> Billing address
  • Please email a copy of your tax exemption certificate to tax@safetyculture.io.
    Please include an email address of any user in your iAuditor account, this will help us to link your request and your iAuditor account.

  • Sales tax is calculated on a per line-item basis, based on each sales item’s tax requirements.
  • No, our prior agreed terms and conditions remain unchanged, as per section 9. our customers remain responsible for the payment of any taxes associated with the sale of the services and where we are obligated to collect or pay tax, these taxes will be invoiced to you, unless you provide us with a valid tax exemption certificate authorized by the appropriate taxing authority.
  • If you report and pay your own use tax on purchases, please submit a copy of your direct pay permit and/or a statement that taxes due will be remitted by you to the relevant authorities to tax@safetyculture.io.
  • As stated in our agreed terms and conditions, section 9, and within our order forms, all fees and charges shown are exclusive of any applicable taxes and you are responsible for any duties, customs fees, or taxes associated with the sale of the goods and/or services.
  • If you have a valid tax exemption documentation which covers the period of service, please email tax@safetyculture.io within 30 days of payment and we will happily process a refund for you.
  • If the 30-day window has lapsed, please contact your local state tax authority or amend your sales tax return to obtain a refund directly from your local revenue authority.
  • US sales tax is based on the location of the reseller/ partner and not the final end use of iAuditor. If a valid reseller exemption certificate has not been sent to us, then the US sales tax will automatically be applied to your bill.

  • We cannot speak for other companies, however, every business is different and have their own requirements and decisions to make. However, based upon our circumstances and requirements we are required to collect and remit sales tax, in order to comply with local state sales tax laws.
